Recording Secretary

Reports to: President

Position Overview:

Responsible for recording meeting minutes and sending out monthly board report documents.

Principal Accountabilities:

Attend all Executive and Governing Board meetings and all ROSC functions.

Submit all monthly or annual reports as stated in bylaws.

Maintain official ROSC Recording Secretary Google drive/email account.

Type recorded minutes and submit to applicable board members for review.

Provide monthly board report document to board members each month.

Maintain a record with copies of all minutes, duties, and correspondence completed to assist the incoming secretary.

Be jointly responsible with the Parliamentarian for maintenance of current copies of the Constitution, Bylaws, and Policies.

Fulfill the duties of Office Administrator in his/her absence.

Email quarterly copies of minutes and financial statements from General and Community Grants Funds to the 86 FSS Private Organizations Office.

Be a member of the General Fund and Grants Budget Committees; and the Constitution, Bylaws, and Policies Revision Committee.

Serve as witness to electronic or email votes conducted by the Parliamentarian as deemed necessary by the President.

Submit an after-action report by the deadline set by the Parliamentarian.
